Work items: Repeating tasks
Hyperproof makes it easy to simplify your routine activities with repeating tasks. Once a repeating task is created, you can view and manage it directly from the Automations tab. Repeating tasks can be attached to a control, label, or risk.
You can set a task to repeat based on a schedule or an event. Tasks that repeat based on a schedule can be set to repeat on an interval of daily, weekly, monthly, quarterly, semiannually, or annually. Once you’ve set the interval, you can set the task to start repeating immediately or at a date in the future.
Using a service account for repeating tasks
It is recommended that you create a service account user in Hyperproof, and configure your repeating task as that user. The service account then becomes the owner of the repeating task template and any tasks created using that template. By using a service account as the Hyperproof user who creates the repeating task, you prevent issues caused by deactivating Hyperproof users.
Note
If you deactivate the user who created the repeating task template, no further tasks are created from the template. You must recreate the repeating task template. To find repeating task templates by the creator, go to Work Items > Repeating tasks and filter using the Created by field.
If you plan to use repeating tasks to create tasks in an integration system, such as Jira, Asana, or ServiceNow, create a matching service account in that system. The service account will show as the creator of the task in both Hyperproof and the integration system. Using a service account in this scenario prevents issues with broken connections when a Hyperproof user is deactivated.
Viewing repeating tasks
To view repeating tasks, you must:
Be the assignee for the repeating task
Be the creator of the repeating task
Be a contributor or manager member of the control, risk, or label that is the target of the repeating task
Event-driven repeating tasks
Can a repeating task be assigned to a group?
Yes, repeating tasks can be assigned to groups. For some organizations, it’s hard to know exactly who should be assigned to complete a task. Oftentimes, all you are sure of is what team is responsible. Assigning a repeating task to a group allows the group to decide which member is ultimately responsible for completing the task.
When a group is assigned a repeating task, all group members receive a notification alerting them of the new task. Any group member can assign themselves as the task owner.
