Adding proof to a policy version
Roles and permissions
The following roles can add proof to a policy version:
Administrators with manager or contributor permissions on the policy
Compliance managers with manager or contributor permissions on the policy
Users with manager or contributor permissions on the policy
Audits often require proof that the effective or retired policy documents followed the organization’s internal procedures for updating, reviewing, approving, and distributing a new policy. This proof might include:
Proof of approval
Proof indicating who reviewed the documents prior to approval
Proof that employees can access the policy document
Proof that employees have read and acknowledged an updated policy
Proof is linked to a specific version of a policy not directly to the policy because proof for one version of a policy isn't applicable to other versions. You can add Proof to a version in two ways:
Automatically - When a policy version goes through Hyperproof's approval process and the status is set to Approved, Hyperproof generates a proof of approval PDF and attaches it to the version.
Manually - If you have additional proof for a policy version generated outside of Hyperproof, you can attach it manually.
To manually add proof to a policy version:
My Computer - To use proof stored on your computer, click My Computer in the upper-left corner.
This <object> - To use proof stored on objects linked to an evaluation or audit request, click This <object>.
Cloud storage integration - To use proof stored in an integration, such as Drive, select the integration’s icon from the Add integration section in the bottom-left corner. Optionally, turn on LiveSync to automatically keep your proof up to date.
Paste a link - Select this option to use a website URL as proof. The URL is rendered as a “Link” file type in Hyperproof; the only information shown in the file is the URL.
Paste an image - Select this option to use a screenshot as proof. Take a screenshot (Cmd-Shift-5 on Mac, Shift-S on Windows), copy it to the clipboard, and then paste it in Hyperproof. Chrome users may need to allow this functionality. If prompted by the browser, refresh the page after clicking Allow.
Existing proof - To reuse proof that already exists in your organization, select either Labels, Proof, My Controls, Vendors, Risks, Policies, or Programs from the left menu.
Note
When selecting existing proof on a policy, only effective and retired policy versions display.
From the left menu, select Policies.
Select the policy where you want to add proof.
The Details tab displays.
Select the Versions tab.
Select the version where you want to add proof from the View drop-down.
In the Proof section, click + Add proof.
The Proof Picker window displays.
Add your proof in one of the following ways:
Click Add.
The policy file displays.
Proof files added to a policy version are available anywhere you link proof and on the Proof page.
