Converting a policy document to the internal editor

Roles and permissions

The following roles can edit a policy document or file:

  • Anyone with manager or contributor permissions for the policy.

If you have uploaded a policy document in DOCX format, you can use the Edit button to bring that document into the policy editor and remove the tie back to the document in the source repository. Once you have moved a document into the policy editor, it can only be edited in the policy editor.

Policy documents created or edited in the policy editor or those in DOCX format are automatically converted to PDF and added as proof to linked controls when the associated policy version becomes effective. Any proof linked to the effective version of the policy is also added as proof to the linked controls. When an effective version is retired, the PDF files and associated proof files are removed from the linked controls, and the new effective policy files are added.

Note

You can only convert a policy document when the associated policy version is in the Draft stage. When a policy becomes effective or is retired, all editing functionality is locked.

You can't replace a policy document that has been converted to the policy editor.

During the Draft stage, you can move the policy document out of the editor and back to its original format by using the Revert option on the policy document tab. See Reverting a policy document.

  1. From the left menu, select Policies.

  2. Select a policy.

  3. Select the Document tab.

  4. Select the Draft version from the drop-down in the View field.

    The policy document associated with the selected version displays.

  5. Click the + Edit button.

    The .DOCX file is migrated to the policy editor, and the editing tools display across the top of the editor window.
