Workflow components

Note

This option pertains to the Hyperproof TPRM product line.

Use the components listed here to build your workflows. All workflow components contain the following options as part of their configuration;

  • Add Help Text - This text appears as a prompt when the user lands on the workflow component, providing guidance or instructions.

  • Add Waiting Message - This message is displayed when the user lacks access to additional components in the workflow, enhancing communication and clarity.

  • Add Collaborators - Assign collaborators who can interact with or manage the component. Collaborators must be users in Hyperproof TPRM.

Start

Every workflow must begin with a Start node, which is added by default.

Approvals

Use approvals to define approval workflows and assign approvers. To configure an Approvals node, complete the following:

  • Component Label - Enter a label for this component.

  • Select the options for approval -

    • Approve - When selected, approvers have the option to Approve the approval.

    • Reject - When selected, approvers have the option to Reject the approval.

    • Preliminary Approval -

    • Approve with exceptions -

  • Add approval steps. See Workflows - Approval component for detailed approval configuration information.

Decision

Allows you to add rules or conditions to control the next steps in the workflow. To configure a Decision node, complete the following:

  • Define Conditions - Set up logical conditions based on form responses or data points.

  • Action Paths - Specify the workflow path based on whether conditions are met.

Example:

  • Condition - If the Similar Product Count is greater than or equal to 1.

  • Action if True - Proceed to the Approval step.

  • Action if False - Proceed to the Document AI component.

Document AI

Use AI to extract and analyze document data. To configure a Document AI node, complete the following:

  • Document Reference - Select documents from previous components for analysis.

  • Analysis Type - AI analysis based on Analysis type

Email notification

Use email notification to allow collaborators to send automated emails. To configure an Email notification node, complete the following:

  • To - Specify the primary recipients of the email.

  • Cc - Add carbon copy recipients.

  • Bcc - Include blind carbon copy recipients.

  • Subject - Define the email subject line.

  • Body - Compose the email content using rich text and variables.

  • Review and Send - Option to enable a review step before sending the email.

Finish

Every workflow must have at least one Finish component to mark the end of the workflow. To configure the Finish node, complete the following:

  • Finish Message Title - Enter a title for the finish message.

  • Finish Message Description - Provide a description or instructions upon completion.

  • Auto Finish - Toggle on to allow the workflow to finish automatically without user intervention.

  • Redirect Settings:

    • Redirect to URL - Specify a URL to redirect users to after the workflow is completed.

    • Redirect to Vendor Home Page - Toggle on to redirect users to the vendor's home page.

Forms

Choose from template forms or create custom forms to collect required input. To configure the Forms node, complete the following:

  • Choose Form - Select a form template or create a new custom form.

  • Publicly Accessible - Toggle on to make the form accessible to all users without restrictions.

  • Default Email Template for Public Form Collaboration - Customize the email template sent upon form collaboration. Displays only when Publicly Accessible is toggled on.

Instruction

Provide viewable or editable instructions for collaborators. To configure the Instruction node, complete the following:

  • Instruction Message - Enter the instructional text to guide users.

  • Seller Instruction - If this setting is turned on, then only the Seller will be able to view the configured Instructions

Integration

Track the status of external integrations with the application. To configure the Integration node, complete the following:

  • Integration Type - Select the type of integration (e.g.,Netsuite, ironclad)

  • Add Structure - Define the data structure for the integration.

Questionnaire

Use a questionnaire to perform Request for x (RFx), evaluations, or vendor reviews. To configure the Questionnaire node, complete the following:

  • Component Label - Enter a label for this component.

  • Choose Template - Select a questionnaire template or create a custom one.

  • Publicly Accessible - Toggle to make the questionnaire accessible to all users without restrictions. Displays only when Vendor Collaboration is toggled on.

  • Vendor Collaboration - Toggle on to allow vendors to collaborate on the questionnaire.

  • Default Email Template for Public Form Collaboration - Customize the email template sent when collaborating on a questionnaire. Displays only when Vendor Collaboration is toggled on.

  • Nudge Template - Define default messages to remind users to complete the questionnaire. Displays only when Vendor Collaboration is toggled on.

  • Scoring - Toggle on to activate scoring for questionnaire responses.

  • Allow Add To Register - Toggle on to allow users to add the questionnaire to their registration.

  • Default Email Template for Risk Register - Customize the email template sent when collaborating on a vendor risk register. Displays only when Allow Add to Register is toggled on.

  • Allow Not Applicable - Permit users to mark questions as not applicable.

Table

Add a project table to organize tasks or data. To configure a Table node, complete the following:

  • Choose Table - Select an existing table or create a custom table.

  • Table Project Column - Define the columns and their data types for the project table.

Workflows

Use existing workflows or create custom workflows tailored to your process. To configure the Workflows node, complete the following:

  • Choose Workflow - Select from predefined workflow templates or design a custom workflow.

  • Integrate with Existing Workflows - Link to other workflows within the system to create complex processes.
