Email tracking - Vendor window

This option pertains to the Hyperproof TPRM product line.

The Vendor Track Email page lists emails that are associated with a specific vendor. It includes tools for managing these associations.

Key features include:

  • Associated email list - Displays all emails linked to the vendor.

  • Email details side panel - Clicking on an email opens the side panel with the following information:

    • To, CC, BCC - Lists the recipients of the email.

    • Subject - Displays the subject of the email.

    • Email body - Shows the full content of the email.

    • Date and time - Indicates when the email was sent or forwarded.

    • Attachments - Displays any files included in the email.

  • Remove Association - Detaches the email from the vendor and returns it to the main Email Tracking window. See Using email tracking.

  • Remap to Vendor - Allows you to reassign the email to another vendor if it was mapped incorrectly.

Manually mapping emails to vendors

  1. From the menu, select Settings.

  2. Select Email Tracking.

    A list of emails displays.

    Note

    If you haven't forwarded any vendor emails to your organization-specific email address, this window is empty.

  3. Click an email to open a side panel and view details, including recipients, body, and attachments.

  4. In the side panel, click the Map with Vendor dropdown.

  5. Search for a vendor by name or category, such as software, hardware, or product.

  6. Select the vendor to map to the email.

    Once the email is mapped to a vendor, it displays in the vendor's Track Email window.

Automatically associating an email with a vendor

  1. Ensure that the sender's email is listed in the vendor's contact information.

  2. Forward emails from the contact to the organization-specific email address shown on the Email Tracking window.

  3. Send emails from Hyperproof TPRM to the vendor contact's email address.

  4. Those emails automatically display in the vendor's Track Email window.

Remapping an email to a different vendor

If an email incorrectly displays in a vendor's Track Email window, you can manually remap it to a different vendor.

  1. Open the Track Email window for the vendor with the incorrect email.

  2. Select the email to open the side panel.

  3. Click the Remap to Vendor dropdown, search for, and select the correct vendor to reassign the email.

Removing an email association from a vendor

If an email incorrectly displays in a vendor's Track Email window, you can manually remap it to a different vendor.

  1. Open the Track Email window for the vendor with the incorrect email.

  2. Select the email to open the side panel.

  3. Click Remove Association.

    The email is removed from the Track Email window for the vendor and is displayed in the Settings > Email Tracking window as a non-associated email.
