Adding a Risk AI questionnaire to a workflow

This option pertains to the Hyperproof TPRM product line.

When you have completed your Risk AI questionnaire, you can add it to a workflow to prepare it for sending it to one or more vendors.

  1. From the menu, select Settings.

  2. Select Workflow Builder.

    The list of workflows displays.

  3. Click the workflow you want to configure.

    The Workflow builder displays.

  4. Click the + icon below the Start component and select the Risk AI component from the list.

    The Risk AI configuration window displays.

  5. In the Component Label field, enter a name for this component. The default is the name of the component type.

  6. Click the dropdown in the Choose Template field and select the Risk AI questionnaire you configured.

  7. Toggle on Vendor Collaboration to allow vendors to collaborate on the questionnaire.

    The email template options are added to the window when this field is toggled on.

  8. Click +Email Template for Vendor Collaboration to review and edit the email that vendors receive with a link to the questionnaire.

  9. Click +Nudge Templates to review and edit the reminder email that vendors receive if they don't complete the questionnaire.

  10. In the Inherent Risk Context field, enter any you want to include for the vendor. Click the + icon to include variables or information from other components in the workflow.

  11. Click the dropdown in the Risk Framework field and select the program associated with this Risk AI questionnaire. For example, if the questions in your questionnaire are about SOC 2 compliance, select the SOC 2 Framework.

  12. Toggle on Edit questions to allow users to edit the questions in the questionnaire before sending it to vendors. Note that editing the questions before sending the questionnaires does not alter the original questionnaire; only the version being sent to the vendors is modified.

  13. Toggle on Scoring to assign a score to questionnaire responses automatically.

  14. Toggle on Allow Add To Register to allow adding questions that were not fully addressed as risks in the risk register.

    The Email Template for Risk Register link is added to the window when this field is toggled on.

  15. Click +Email Template for Risk Register to review and edit the email vendors receive when a question is added to their risk register.

  16. Toggle on Allow Review to allow users to mark questionnaire responses as Reviewed.

  17. Toggle on Allow Not Applicable to allow vendors to mark a question as not applicable.

  18. At the bottom of the window, click the + icon to add system users as component owners.

  19. Click Add Help Text to add information about the component that is visible in the component on the workflow builder.

  20. Click Add Waiting Message to add a message that will be displayed when the component takes a long time to load.

  21. Click Save to save the Risk AI component.

  22. Continue adding components until your workflow is complete, then add the Finish component.

  23. At the top of the Workflow Builder, click the Finish button.

    The Manage Project Types window displays.

  24. Click +Add.

  25. In the Project Type field, name your project type.

  26. In the Workflow field, select the workflow you have just configured, which contains the Risk AI component.

  27. In the Permissions field, select the system users who should have access to this project type. If you leave it blank, everyone has access.

  28. Click Save.

  29. Click Exit.
