Managing policy life cycle

Policies go through a life cycle where they are created, reviewed, approved, established as the effective policy, and retired. During this life cycle, you must keep track of policy status, open work items, and due dates.

In Hyperproof policies can contain one or more versions in different phases of the policy life cycle. For example, you can have several retired versions that represent the evolution of a policy over time, an effective or current version, and a new version in a Draft or Approval state. Actions you can take on a policy vary depending on the policy's stage in the life cycle.

When you create a new version in a policy, you control the life cycle stage for that version. Note that some life cycle stages only allow a single version. For example, you can have multiple retired versions but only one effective version.

A policy version can be in one of the following policy life cycle stages:

  • Draft - The version of the policy is being drafted outside of Hyperproof in a document system such as Google Docs or Microsoft Word. Only one version can be in the Draft stage. During this stage, you can do the following:

    • Review and edit the policy document in an external editor.

    • Upload new versions of the policy document manually or using LiveSync.

  • Approval - The policy version is being reviewed by the selected approvers. If the approvers mark the version as Approved, it can be moved to the Effective stage. If an approver selects Request changes for an approval, the policy manager moves the version back to the Draft stage for further work, and the status of the remaining approval tasks is set to Cancelled.

  • Effective - The version of the policy is now the policy that is in effect until the next review cycle. The prior, effective version is moved to the retired list. During this stage, you can do the following:

    • View the effective policyversion.

    • Add retired versions.

    • Replace the effective version.

    • Start a new review cycle by creating a Draft version.

  • Retired - The selected version is retired. This stage isn't displayed in the Edit details window but is one of the stages. Retired versions are listed on the Edit details tab and can be accessed by selecting the correct version ID on the Versions tab.
